Generative AI can be used to help craft meetings notes. As with all AI tools, they can make mistakes including making up information or omitting important details. AI outputs should always be reviewed for accuracy by a person.
AI for Virtual Meeting Notes
For virtual meetings, there are a few options. Please note that, as with all AI tools, outputs can be wrong or incomplete, and should be used as a starting place. Also, know that each of these need to be turned on at the beginning of each meeting to capture notes and transcription.
- Zoom AI Assistant –
- Free for all IC students, faculty, staff.
- Must be turned on at the start of each meeting.
- To make the feature available, you have to go into settings to activate the feature for your instance of Zoom. Once that is done, the button will appear in your Zoom meetings going forward.

- Transcription Analysis in Copilot
- This multi-step method could be used for free by alI C students, faculty, staff, to create meeting notes from a transcript. Unlike the other options here, this is not a tool embedded in the meeting application.
- Using a Teams meeting, take a transcript from the beginning of the meeting (similar to a recording, but creates a text record of the dialogue). Then paste that text transcript into Copilot in a browser (signed in with your IC credentials for data protection), and ask it to create meeting notes from the transcript.
- Teams Premium
- Costs $25/year for the department of faculty or staff. IT&A is working on a procedure to allow departments to purchase licenses for their area -- coming soon!
- Captures meeting takeaways from Teams meetings and has other features also.
- Only the person(s) with this license in a meeting can access the recap, however, they can copy/paste to the rest of the group in the chat.

- Copilot for MS365

- Most advanced meeting capabilities - Ability to ask questions, make requests, of AI based on the transcript of the Teams meeting including compose minutes, analyze the conversation, identify next steps, etc.

In-person Meeting Notes
For in-person meeting minutes, IC does not have any meeting note tools specifically for in-person meetings. It would be possible to use any of the above if by opening a Zoom/Teams meeting using one device in the room and as long as the microphone can capture everyone's voices in the room. The tool wouldn’t be able to capture who said what, since all the dialogue would come in through one microphone but that may or may not be an issue for creating meeting minutes.
