Why do I Need to Create a Requisition? 

  • If you are a new student supervisor and need to hire student employees or assist someone with hiring students, you must create a requisition (job posting). This will allow you to track applications, move students through the recruiting process, and offer students jobs through our system. 

Helpful Tips

  • When creating a requisition, some information will be pre-populated. You should not need to edit these fields unless specified in the instructions. 
  • You can save your progress by clicking "save and close" and return to it at any time, the posting does not need to be completed all at once.  
  • Where you will be entering information will appear on the left of your screen, and section titles will appear on the right of your screen. 
  • By clicking the image header on the top left of your screen as you complete each section, pop-ups will appear with instructions on how to complete that section of your requisition. 
  • For the purposes of this article and recruitment in IC HR Cloud, postings made visible to our internal candidate career site are viewable to all current faculty, staff, and student employees. Postings made visible to our external candidate career site are viewable to any prospective faculty, staff, or students who have never held a position on campus.

Setting Up a Posting

Steps 

  • Navigate to the Finance and HR Cloud on our apps.ithaca.edu page. 
  • Select the home icon in the top right 
  • On the home page select "My Team" and the Hiring Icon (if you do not have this please contact the HR Help Desk).
  • Select the requisitions tab at the bottom of your screen
  • Select "Create+"
  • Section 1: How to Start
    • Under "Create Requisition Using" select job 
    • Under "Job" type in "STUDENT." Several options will appear, please select the job that most aligns with the duties of the role you are posting. 
      • For guidance, each student job has classifications: 
        • Series: the nature of the work. You can view these categories here
        • Level: the intensity of the responsibility, also associated with pay rate. You can view these categories here, and corresponding pay rates here
          • EXAMPLE: You want to hire an administrative assistant who has prior experience, and the rate will be $15.30. 
            • Chose: STUDENT - Office Operations Assistant B 
  • Section 2: Basic Info
    • Requisition Title: This is the title of the posting that you want applicants to see, this is editable.
    • Number of Openings: This can be set to limited or unlimited, if you enter limited you must enter a maximum.
  • Section 3: Hiring Team
    • Hiring Manager: Enter the individual who should be the supervisor for the role
    • Recruiter: The Student Employment Specialist at IC should be listed as the recruiter on all student postings. If you are unsure who to put please contact studentemployment@ithaca.edu.
    • Collaborator: Search and add any additional individuals who may be reviewing applicants for this student job. You may also need to add yourself if you are not the hiring manager.
  • Section 4: Requisition Structure\
    • Recruiting Type
      • Student
    • Organization:  
      • Enter the department that the job is located in.
    • Primary Location:  
      • Ithaca, NY.
  • Section 5: Details
    • Hours Per Week: Hours per week the employee will be working
    • Market Hiring Range: Enter the hourly rate for the role
    • Target Start Date: Enter the start date for the position 
  • Section 6: Work Requirements 
    • Both sections can be left blank
  • Section 7: Posting Description
    • Select the "Internal" tab
    • Check the radio button "Create Description" to insert your job description
    • Internal Short Description: This short description is less than 1000 characters and will show as the job summary on the front tile of the applicant site
    • Internal Description: Copy and paste your job description
    • Select the "External;" tab
    • Check Box for Use same description as internal
  • Section 8: Offer Info
    • Legal Employer: Leave as default (Ithaca College)
    • Department: This should default to the hiring department. 
    • The department that you select on the job requisition should correspond with the account number from which the student employee(s) will be paid from once hired. Selecting the appropriate department when creating job requisitions or job offers ensures that costing is correct once the student is hired. Please refer to this TDX Article to determine the appropriate department you should select.
    • Primary Work Location: Ithaca College Campus Address is the default, change if necessary 
  • Section 9: Attachments 
    • Add any attachments that would be helpful for collaborators. For example, a rubric or evaluation form. 
  • Section 10: Configuration  
    • Candidate Selection Process: Leave as defaulted.
    • External Application Flow: Leave as defaulted.
    • Allow Candidates to Apply When Not Posted: No 
    • Automatically Fill Requisition: No   
  • Section 11: Pre-screening Questions 
    • If you plan to add additional questions, please first work with the Student Employment Specialist to confirm that the question is available and appropriate for your requisition. 
    • Please be sure to select the same questions for both internal and external pre-screening questionnaires. 
    • To add a question, please select the "add+" button  
    • Select the "question" drop-down, you can scroll through the list of available questions and select as needed. 
    • Common Additional Questions (you can search by typing text or the code)

  • Section 12: Interview Questionnaires 
    • Not currently used on the student side, please work with Student Employment if you would like to create an interview questionnaire
  • Section 13: Screening Services
    •  Select the "add" button in the top right of the screening services box 
    • Under Partner Name: 
      • Select HireRight 
    • Under Account: 
      • Select ITH001 

After completing all sections above, scroll to the top of the page and click Submit. Once submitted, the recruiter on the requisition will receive the requisition for review.

Approval Process

Once the requisition is submitted, the Recruiter on the posting will be notified to review and approve the requisition. Student requisitions will be posted, and you will be able to start reviewing and making selections on applicants.
