Helpful Tips
- When creating a requisition, some information will be pre-populated. You should not need to edit these fields unless specified in the instructions.
- You can save your progress by clicking "save and close" and return to it at any time, the posting does not need to be completed all at once.
- Where you will be entering information will appear on the left of your screen, and section titles will appear on the right of your screen.
- By clicking the image header on the top left of your screen as you complete each section, pop-ups will appear with instructions on how to complete that section of your requisition.
Creating a Requisition
Access Job Requisitions through My Team, then the Hiring App. This page is where you will access any requisitions you are affiliated with and also where you will create a new requisition. To create a staff requisition:

- Click the "create+" button in the middle of your screen
- The requisition is broken down into sections. Please note that you will only be able to continue to the next section when all the required information has been completed.
- The sections are as follows:
- How to start
- Requisition Type: Standard
- Create Requisition Using: Position
- Business Unit: Ithaca College
- Position: Start typing either position number or title. Smart search capability will bring up a list of options. Choose the correct position (contact Human Resources if the position you are looking for does not populate)
- Click Continue
- Basic Info
- Requisition Type: Standard (pre-populates)
- Requisition Title: HR will edit before posting to ensure standardization.
- Position: Pre-Populates
- Language: American English
- Number of Openings: Choices include Limited and Unlimited. If selecting Limited, please enter how many positions you are recruiting for. Unlimited requisitions can be used for continuous hiring needs, such as Lecturer pools
- Click Continue
- Hiring Team
- Hiring Manager:
- Name of supervisor of the position
- Recruiter: Start typing the name of HR Recruitment and Employment Consultant
- Add Collaborator Type: Use drop-down and add search chair (if someone other than the hiring manager is chairing the search), search committee members, and any other admin support as Collaborators
- Start typing first and last name to populate a list
- Requisition Structure
- Recruiting Type: Staff
- Organization: Position Department
- Primary Location: Ithaca, NY. Type Ithaca to populate
- Other Locations: Leave blank
- Click Continue
- Details - These fields are for internal viewing only. They will not appear on the posting and therefore are not required (unless specified), although helpful for the recruitment participants. Please note that some fields have a character limit of 150. If additional space is needed, please use the attachments section
- Required Fields:
- Regular or Temporary
- Full Time or Part Time
- Procedure for Assessing Applicants, Quorum Policy and Decision-Making Procedure
- Internal Recruitment Plan Explanation: If only posting internally, please explain the rationale and how this position will be advertised to internal candidates
- List of Publications/Websites for HR to Advertise: Please work with HR Recruitment and Employment Consultant
- Advertising Methods: List all places you as a department plan to advertise the position
- Efforts to Attract Under-represented Groups
- Names/Address of at least 5 Individuals to be Contacted to Solicit Interest:
- Ad Copy (short) for Print Advertising (if different than posting description)
- Ad Copy (long) for Website Postings (if different than posting description)
- Target Start Date
- Waiver to Post: If you are submitting this as a waiver to post select yes. Please complete additional fields that will populate
- Click Continue
- Work Requirements
- Travel Required – Yes or No
- International Travel Required – Yes or No
- Click Continue
- Posting Description – we have the capability to customize an internal posting versus an external posting but in most cases, the job description will be the same. To use the same job description for internal and external check the box at the bottom of this section. Description will populate with the current job description on file.
- Select the "internal" box

- If you would like to use a pre-existing description, click "select existing description."
- Use the "Posting Description Template" drop-down to select the job description you would like to use.
- A short description and a long position should appear.
- Internal Short Description: This short description is less than 1000 characters and will show as the job summary on the front tile of the applicant site
- Internal Description: Encompasses the full job description.
- Select the "external" box
- Check "Use same description as internal."
- If you are using a new job description, after approved by the recruitment team:
- Check the "internal" box
- Please select "create description"
- Paste your short and long description
- Select the "external" box
- Check "Use same description as internal."
- Offer Information
- Legal Employer: Pre-Populates
- Business Unit: Pre-Populates
- Department: Pre-Populates
- Primary Work Location: Ithaca College Campus Address
- Other Work Locations: Leave Blank
- Job: Pre-Populates
- Grade: Pre-Populates
- Click Continue
- Attachments
- Add any attachments that would be helpful for collaborators. For example, a rubric or evaluation form
- Click Continue
- Configuration
- Candidate Selection Process: Pre-Populates
- External Application Flow: Pre-Populates
- Allow Candidates to Apply When Not Posted: No
- Automatically Fill Requisition: No
- Click Continue
- Prescreening Questionnaires
- There are preset questions that will populate to candidates. Please contact HR if you would like to add a pre screening question. Do not change anything
- Interview Questionnaires
- Please work with the Recruitment and Employment Consultant if you have questions.
- Screening Services
- After completing all sections above, click Save and Close or Submit
- Save and close – saves as a draft and not fully submitted
- Submit – routes for approvals
Approval Process
Once the requisition is submitted, the HR Recruiter, Search Chair, and Collaborators selected will be sent system system-generated email that includes a link to the confidentiality agreement.
- The approval process is as follows for staff requisitions:
- Hiring Manager's Supervisor > Budget > HR for posting
- The submitting individual will receive a notification once the requisition has been posted. Please note the system can take up to 15 minutes to post the position to the external website.
