IC HR Cloud: Performance Review for Supervisors

Performance reviews assess employee goals, work and accomplishments during the year, and when managed professionally, openly, and honestly, reviews can help enhance working relationships, understanding of personal and professional goals, and performance. Reviews can also help ensure employees are recognized for their work and are being provided the right training opportunities to acquire further skills, which can be beneficial for both the employee and the College. Performance reviews offer supervisors the opportunity to culminate the conversations they are having with their employees throughout the year to review personal and professional goals, to set goals and ambitions for the upcoming year, and to reflect on areas of growth, improvement or advancement.

Annual Staff Performance Review Timeline

The 2024-2025 Annual Performance Review will run from Monday, March 3, 2025, through Friday, May 2, 2025  

The following table explains the checkpoints and deadlines in this year's Annual Performance Review process.

Helpful Tips for Completing Your Performance Review

  • You are able to make each text box larger by clicking and dragging the right-hand corner of the box.   
  • You can save your progress as you go by clicking Save and Close in the top right corner.  
  • If you attempt to submit your self-evaluation before completing all required questions, you will receive an error message.  
  1. Go to apps.ithaca.edu and log into Finance and HR Cloud using your IC login credentials. You can click the Ithaca College logo or the home icon to go to the main page. 
  2. On the main page, click the My Team tab, then select the Performance app (not the Performance Overview app). 
  3. The Performance app will display a list of all employees who report to you. Note: You will only see employees hired on or before December 31st of the previous year. Employees hired after January 1st do not need to participate in the Annual Performance Review process. 
  4. Each employee will have a link to their Annual Performance Review above their name. If you expand the carrot in the lower right corner of their box, a checkmark will appear if they have completed their self-evaluation. While you can begin your assessment, we recommend waiting for the self-evaluation to be completed before finalizing your submission. 

Self-Assessment Overview 

 The Performance Review Process begins with your direct report completing a Self-Evaluation. The information in the self-evaluation will provide valuable insight into their performance and how they perceive their own contributions, helping to guide your Supervisor Evaluation.

A separate Performance Review – Employee Guide is available via TDX, outlining the Employee’s responsibilities and tasks during the Annual Performance Review Process.  

Part 3. Participant Feedback

Requesting Participant Feedback

While the employee completes their self-evaluation, you will be requesting feedback from peers. Note: Feedback from direct reports will be automatically initiated. 

Follow these instructions to invite peers of your direct report to provide feedback: 

  • Click the ellipsis [...] next to the employee’s name, then select Request Feedback for Employee’s Annual Performance Review. 
  • In the Participants section, click the Add button. In the “Add person” box, start typing the name of the person you are inviting for feedback. 
  • Once you've added all participants, click Send Request in the top right corner. 
  • The system will automatically set a due date, but you can edit it and add a custom message for participants. You can use this template or create your own message: 
  • “I invite you to provide feedback for your peer during this Annual Performance Review process. Please note, participant feedback is optional, and any comments you enter will not be viewable by the person you are providing feedback about.” 
  • Click Submit and add any additional participants as needed. 

Viewing Feedback

Prior to completing your review of the employee, you are encouraged to review any submitted feedback from direct reports and peers. 

  • To view submitted feedback, click the “x of x participants” responded link.  
  • Any completed feedback will have a View Feedback button.  
  • Select View Feedback button then select View button. 

Please remember that feedback is optional and is not viewable by the employee. 

Part 4. Supervisor Evaluation

  1. To access your employee’s Performance Review: 
  2. Go to apps.ithaca.edu and log into Finance and HR Cloud using your IC login credentials. Click the Ithaca College logo or the home icon to access the main page. 
  3. On the main page, click the My Team tab, then select the Performance app (not the Performance Overview app). 
  4. Select the Performance Review 2025 link above the name of the employee you are evaluating. 
  5. To begin the Supervisor Evaluation, click Evaluate. You will complete the same set of questions the employee answered in their self-evaluation. All sections are available on a single page. 
  6. You can expand or minimize sections of your evaluation by clicking the carrot icon on the right. Doing so will allow you to have a better view of who else submitted feedback. You can view responses by selecting the carrots next to each box.

  8. Provide your assessment of the employee's job performance over the past year in each section: Accomplishments and Results, Competencies, and Goals / Growth / Development / Improvement. 
  9.  You can click Save and Close in the top right corner at any time to save your progress. Be sure to respond to each question.  
  10.  View attachments added by your direct report by selecting the down arrow in the Attachment box and clicking on the link to any attachments. 
  11. You may also by your direct report  add attachments, such as check-in documents or other supporting materials. To attach a document: Edit > Attach Document > Save. 
  12. Once you’ve completed your assessment, click Submit in the top right corner. 

Before sharing the review with the employee, make sure your supervisor has reviewed and approved your assessment. If needed, make any changes before releasing it to the employee. 

  • It’s recommended that you release the document before your meeting with the employee, allowing them time to review it. 
  • To release the document, click on the Annual Performance Review link above the employee’s name. An Information Call-Out will appear, giving you two options for sharing the review: 
  • Share and Retain – Select this option before the meeting. It allows you to share the review with the employee but still retain control of the document, so you can make changes or add comments as needed. 
  • If you need to make edits before sharing, click the ellipses […] next to the employee’s name, then select Edit Submitted Manager Evaluation. Make your edits and resubmit.

  • Share and Release – Select this option after your meeting with the employee. It shares the document with the employee and shifts control of the document to them. 
  • Before sharing the review, check with your Division Leadership to ensure you follow any internal Leadership Review process. Next-level supervisors and Division Leadership can view Annual Performance documents throughout the entire process. 

Performance Meeting Overview 

 Supervisors and employees are required to meet one-on-one to discuss the Annual Performance Review. These reviews should not be a surprise, as regular check-ins throughout the year are expected. 

Performance Meeting Agenda 

 Performance meetings can be held in-person or virtually and should last between 45 and 60 minutes. Both the employee and supervisor should actively participate in discussing each section of the Performance Review. At the end of the meeting, establish goals and an action plan to achieve them, including a plan for regular check-ins throughout the year. 

Release the Performance Document to the Employee & Confirm Performance Meeting 

 After the performance meeting, supervisors should make any necessary edits and then Share and Release the document to the employee. 

An Information Call-Out will appear prompting you to confirm that the performance meeting was held. Click the Indicate Meeting Held button, enter the meeting date, and then click Submit in the top right corner. 

Final Feedback Overview 

 Once you confirm the performance meeting, the Annual Performance Review will be returned to your direct report for any Final Feedback. Their submission and verification of Final Feedback will complete the Performance Review process for this employee. 

Part 7. Additional Information & Next-Level Supervisors

Finding Completed Performance Reviews 

  • Return to the Performance app (not the Performance Overview app). This will display a list of all employees who report to you. 
  • The default view shows In Progress reviews. To view completed reviews, click Show Filters, then select Completed in the bottom section of the filters list. 

For Next-Level Supervisors: 

  • As a Next-Level Supervisor, you can view Annual Performance documents throughout the entire process. 
  • To access a Performance Review document for an employee in your department or division: 
  • Click on the My Team tab, then select the Performance Overview app (not the Performance app). A list of your direct reports will appear. 
  • Use the Hierarchy link to view the department list of your direct reports. 
  • Each employee will have a link to their Annual Performance Review below their name. A checkmark will appear if they have completed their self-assessment. You can only view documents that have been started.
